Frequently Asked Questions

Who is Stefano?

Stefano is an Italian espresso machine technician who has been living in the US since 1991 and repairing espresso machines since 2000. He is a factory-trained technician with years of expertise, and Espresso Machine Repair by Stefano is an authorized repair center for Elektra, La Pavoni, Isomac, La Marzocco, Rancilio and Vibiemme. Please see our About page for more details.

Which brands of machines do you repair?

EMRStefano focuses on Elektra, Isomac, La Pavoni, Rancilio, and Vibiemme espresso machines, but there are other brands that we repair as well. We also repair some brands of grinders. Note that we do consider the age and condition when we’re contacted about a potential repair.

What services do you offer?

We offer maintenance and repair of espresso machines and grinders at our facility in Elmira, Oregon. While we do repair commercial machines, we do so only at our facility, so we should not be considered for an emergency repair. Note that we do not work on all brands or all ages of equipment. Please contact us with your specifics (brand, age, model, and current concerns) to initiate a Repair Submission Authorization.

Do you offer technical assistance?

While we do not offer complimentary tech/troubleshooting services, we do plan to offer remote tech services in the future. This may be offered by email or video and based on your needs an our availability.

Can I talk to someone by phone?

We do not have dedicated phone staff. Please email us with questions regarding repairs. As noted above, we do not offer complimentary tech/troubleshooting services. If you are planning on repairing your own machine, we recommend you contact info@espressocare.com for questions and assistance with parts.

How much do repairs cost?

The cost of a repair varies widely depending on the machine’s age, condition, and maintenance history. We charge $100/hour for repair labor + parts and shipping. We cannot provide estimates until the machine is on our bench for testing and diagnosis, at which point you’ll have the option of proceeding with a repair or not.

What if I want to have you perform only part of the estimated scope of work?

You’ll receive an estimate from Stefano with necessary work (to make it safe and operable), recommended work (aging yet still functioning parts), potential work (problems he would like you to consider that may or may not arise, i.e. a heating element that has severe scale may be damaged during the deep descaling process), and suggested work (things you might want to address as long as the machine is in the shop).

We will not perform a partial repair that does not bring the machine to at least a safely operable state (i.e. we will not replace gaskets and overlook burned wiring that is hazardous), but there may be some portions of the estimate that are not necessary to perform at that time. If you decide to proceed with at least the necessary portion of the repair, then we’ll apply half of that toward the repair total.

How long do repairs take?

Our intention is to receive, repair, and re-ship machines back out within a week, but this timeline depends on how quickly customers respond to inquiries and estimates, parts availability, and the breadth of the repair.

What is your repair process?

Please see our Repair Process page for detailed information.

What if my machine is not worth repairing?

You can choose to have your machine shipped back to you (shipping fees apply), or we can recycle it for you. As noted in our Terms of Sales, the Repair Submission Fee covers our time and labor up to this point, and it is not refundable. (Should you have your machine repaired, we will apply 1/2 of the Repair Submission Fee toward your repair labor.)

What is your warranty?

Every machine we repair is thoroughly tested before being returned to the customer, and we offer a 30-day warranty on our labor. Please see our Repair Terms for more details

How does the billing process work?

We charge a repair submission fee of $100, which must be paid prior to us opening the shipping box and beginning the diagnosing process. This fee is non-refundable once we receive your equipment. If you choose not to proceed with a repair, then this fee covers our labor up to that point. If you do proceed with a repair, then we will credit 50% of your repair submission fee to the first hour of repair labor. If your repair is over $300, we will invoice partial bills during the course of the repair. The final bill is due prior to shipping your machine. We bill through PayPal invoicing, and these invoices can be paid by debit, credit, Venmo or PayPal. Local customers can pay in cash if preferred. We do not accept checks.

Can I just ship my machine to you when I’m ready for a repair?

No, please do not ship your machine to us without a scheduled repair and repair submission number. Unauthorized shipments will be refused at delivery. Please contact us to schedule a repair.

Can I drop off a machine in person?

Yes you can, but please note that we are open by appointment only, and you will still need a Repair Submission Number to schedule your drop off. If you plan to have us ship the repaired machine back, then you will need to provide shipping material per our shipping guidelines, or we can provide those materials for a fee.

How much does shipping cost?

We ship by UPS, and they calculate costs by weight and dimensional weight, whichever is greater. While a smaller box may cost less to ship, be wary of not sufficiently protecting your machine, resulting in damages that may or may not be covered under UPS insurance (if purchased). There are steps you can take to safely reduce the shipping box size on some machines, such as removing the lever on La Pavoni and Elektra lever machines and removing the metal water reservoir on the Elektra SemiAutomatica. We have specific Packaging Instructions, and we also provide tailored instructions by email when reserving your repair spot.

How do I package my machine safely?

We provide detailed packaging instructions to help your machine arrive safely. It is important to protect all damage-prone areas of a machine, especially sightglass assemblies, steam arms, gauges, etc. If you are having your machine professionally packed, please provide our guidelines to them. Note that you should always drain the boiler of your machine prior to shipping to prevent water damage on copper and brass finishes and weakening the shipping box. During the colder months, water left in the boiler can cause freeze-damage to pipes.

What do you need/not need with my shipment?

We need your machine :), the portafilter you use most often (with its basket), and a hard copy of your Repair Submission Form. In most cases, we do not need removable trays and reservoir lids. Should we need your drip tray, we will let you know in the machine-specific instructions we’ll include with your scheduling email.
